Event coordinators start later in the event life-cycle than an event planner. A coordinator’s job is to ensure the event is run according to the plan put in place by you. A Floating Hat Event Coordinator will meet with you at least 8-12 weeks prior to your Wedding date to ensure we understand your plans and how you want your event to run. Services offered include:

  • Six-to-eight weeks prior to the event
    • Weekly emails and calls as needed
    • Review and confirm all signed vendor contracts
    • Inspection and confirmation of venue layout and set-up
    • The wedding coordinator will be on site for your weeding rehearsal to coordinate activities; offer advice; and provide support
  • Day of Wedding – up to 8 hours on-site support
    • Early arrival at the couple and bridal party location
    • Wedding day emergency kit
    • Wedding day checklist/timeline for couple, bridal party and all involved vendors
    • Distribution of all remaining vendor balances
    • Supervision and direction of all activities such as: ceremony, photography sessions, transportation and flow of reception e.g. entrance of bridal party and couple, cuing DJ/Musicians, first dance and toast
    • Buffet or sit-down dinner management
    • Oversee gifts and special items
    • Supervision of clean up/break down
